CIVIS invites proposals for Staff Weeks designed to foster collaboration, innovation, and professional development across our alliance.
Staff weeks are a key format of the CIVIS Internationalisation Academy. These training initiatives, supported by Erasmus+ grants, promote cross-networking and mutual learning among university staff.
 
The call for proposals initiates the collection of staff week ideas from partner universities.

When, where, who?

Any academics/ teaching and administrative staff member of a CIVIS university (including University of Glasgow and University of Lausanne, following specific conditions) can propose a staff week.

The Staff Week must be supported by the Head of the Faculty/ School/ Department/ Administrative Unit. In case the Staff Week is organised based on Erasmus+ Fundings, it needs to be validated by the Erasmus+ Office of the coordinating institution (proved by a signed Letter of Intent). 

Why Participate?

The staff week can be held in any format:

  • on-site,
  • virtual,
  • blended.

Blended Staff Weeks can be organised as Blended Intensive Programmes (BIPs) but also with other funding programmes available at institutional level. In case a Staff week is organised as a BIP, a Letter of Intent included in the call, must be submitted with the application.

Before submitting a staff week proposal, coordinators must secure financial approval from their university’s relevant department and/ or Erasmus+ Office.

Highlights & Success Stories

Proposals should align with CIVIS strategic goals and objectives and address key themes, such as:

  • Internationalisation and research collaboration
  • Teaching innovation and challenge-based education
  • Capacity building in Higher Education Institutions (HEIs)
  • Inclusive governance, civic engagement and academia-stakeholder collaboration
  • Institutional transformation, cultural and linguistic diverstiy

How to apply

Calls for proposals are issued twice a year, in spring and fall.

In addition to the biannual calls, a rolling call is available for cases where a staff week is planned outside the timeline of the fixed calls. The procedure and timeline for these rolling calls will follow the same steps as the fixed calls:

  • Call for proposals: 2 months
  • Eligibility check and ranking: 3 weeks
  • Validation: 2 weeks
  • Notification to applicant: 1 week
  • Announcement on website: 2 weeks
  • Earliest start date: 3,5 months after end of call
  • Latest ending date: 12 months after end of call

  • Eligibility check and ranking: 2 – 20 June  
  • Validation: 23 June – 4 July
  • Notification to applicant: 7 – 11 July
  • Announcement on website: 14 – 25 July
  • Earliest start date: 15 September
  • Latest ending date: 30 April 2026

Fall Call

  • Call for proposals: 1 September - 31 October
  • Eligibility check and ranking: 3-21 November
  • Validation: 24 November - 5 December
  • Notification to applicant: 9-12 December
  • Announcement on website: 15-30 December
  • Earliest start date: 15 February 2026
  • Latest ending date: 30 September 2026
